Here you will find some of the policies for volunteers and members of WES

Several key policies have recently been reviewed, updated, and formally approved by the WES Board. These updates are part of our ongoing commitment to transparency, inclusion, and good governance, and we want to ensure you’re informed and empowered to engage with them.

Conflict of Interest Policy
Why it matters: Ensures transparency and fairness in decision-making, especially for members involved in panels, committees, or governance.
What to do: Please familiarise yourself with the policy and consider any potential conflicts in your current WES involvement.


Members and Volunteers Code of Conduct Policy
Why it matters: Sets out expectations for respectful, inclusive, and professional behaviour across all WES activities.
What to do: Please read and uphold these principles in your interactions with WES and fellow members.

Volunteer Policy
Why it matters: Describes how WES supports, recognises, and engages volunteers across our programmes.
What to do: If you’re a current or prospective volunteer, please read this to understand your rights and opportunities.

Volunteer form downloads

Volunteer Agreement
Why it matters: Formalises the relationship between WES and its volunteers, outlining mutual expectations.
What to do: If you’re actively volunteering with WES, we’ll be in touch to share and sign the updated agreement.

Declaration of Interest Form
Why it matters: Complements the Conflict of Interest Policy by allowing members to formally declare relevant interests.
What to do: If you serve on a WES panel, committee, or working group, please complete and submit this form to Tristan.Holland@wes.org.uk.

Expense Claim Form
Why it matters: Enables members and volunteers to claim approved expenses incurred during WES activities.
What to do: Use this form for any eligible reimbursements, in line with the relevant expense policy.
